This guide outlines the steps required for a hiring manager, department representative, or IT team member to initiate and complete the onboarding process for a new or existing employee using the City of Buffalo's TeamDynamix service portal.

The process is sequential and requires completing a mandatory policy acknowledgment before the main onboarding process can continue.

Process Overview

The full employee onboarding process consists of two primary, time-sensitive steps:

  1. Acknowledge Network Policy: The end-user (new hire or existing employee) must first complete the "E-Sign Network Policy and User Agreement Acknowledgment" service request.
  2. Complete Onboarding Request: Upon completion of step 1, the system automatically sends the manager/requester the "Onboarding Request (New / Existing Employee)" form to gather all necessary details (access, equipment, software

Instructions

Step 1: E-Sign Network Policy and User Agreement Acknowledgement (Employee Action)

This step must be completed by the employee being onboarded (or their representative) to trigger the next phase of the process.

Process:

  1. Locate Service: Navigate to the City of Buffalo IT Service Catalog in TeamDynamix.
  2. Access Form: Click the link for the E-Sign Network Policy and User Agreement Acknowledgement service.
  3. Review and Fill and Submit: Review the policy text provided within the form CBNS Network Policy & User Agreement (MIS).
    • Agreement Field: Fill out your name at the bottom of the form to confirm that the policy has been read and understood.
    • Submit: Click the Submit button to finalize the acknowledgement.
  4. Confirmation: The department will receive an automated email confirmation that the policy acknowledgement has been completed.

Crucial Trigger: This submission acts as the trigger. The system will now automatically generate and send the main onboarding form to the designated manager/requester.

 

Step 2: Completing the Onboarding Request (Manager/Requester Action)

This form is where all specific requests for user accounts, hardware, and access are defined.

Process:

  1. Receive Email: The manager/requester will receive an email from TeamDynamix after the employee has filled out the E-Sign Network Policy and User Agreement Acknowledgment containing a direct link to the Onboarding Request (New / Existing Employee) form. 
  2. Open Form: Click the provided link in the email to open the form in your browser.
  3. Fill out the Form:
    • ​​​​Note: For the E-Sign Verify Ticket ID question make sure to populate the field with the ticket ID created and sent in the email from the E-Sign Network Policy and User Agreement.
  4. Review and Submit:
    • Thoroughly review all sections for accuracy and completeness. Missing or inaccurate information will cause delays in provisioning services.
    • Click the Submit button at the bottom of the form.
