Overview
Instructions below to create a new item and file with the Common Council using MinuteTraq.
Instructions
1. Open a new item form.
By clicking "New" found in the top left corner.
2. Choose a template
By double-clicking on the appropriate template from the list. If you are unsure, choose "Blank Template." These instructions will use the example of "Common Council Resolution"
3. Add the item's header information
By adding a ''Short Name' This is the title of the document as it will appear on Council Agendas. There is a character limit so use abbreviations such as "&" for and, or "COB" for Buffalo.
Your default Department should already appear. Edit it if necessary.
Change "Initiator" to yourself.
Go to "Target Meeting" to choose the meeting for which you want your item filed.
Because this item is a resolution, select a council member to sponsor it. Other types of files will not require a sponsor.
Choose the "Category" that best describes your item.
Skip over "Projects", "Function", "Motions", and "Public Hearing".
4. Edit Formal Title
This is optional. If you used abbreviations in "Short Name" such as "COB" you can spell out The City of Buffalo here.
Skip over "Comments From Council Staff."
5. Write the Resolution
By Clicking in the box labeled "Formal Body." At the bottom left, click on the W icon for MS word. In the new window that opens, type over the lorem ipsum text while preserving the formatting. When you're done, close out MS Word. All your Work will be preserved in MinuteTraq.
